I am working on revamping my sales/estimate call system to provide prices on the spot. I currently meet with the homeowner, walk the job and discuss what they want done, give them the following info plus a copy of my liability insurance. I give them the info and then measure everything off and come back with a price when I'm done. I may expand beyond this, but right now it fits on 3 pages in MS word. This is the interior one. I'm still using my older version of the exterior template.

PROPOSAL FOR PROFESSIONAL SERVICES



GENERAL TERMS AND CONDITIONS:
Contractor proposes to provide all labor, material and equipment (unless otherwise specified in this proposal) to complete the work described within this proposal.

MANUFACTURER'S SPECIFICATIONS AND INDUSTRY STANDARDS:
All surface preparation and coating application will follow manufacturer's specifications to achieve a "properly painted surface" as defined by the Painting and Decorating Contractors of America (PDCA) and all standards adopted by the PDCA are included in this proposal.

CUSTOMER RESPONSIBILITIES PRIOR TO INTERIOR WORK:
Colors should be chosen prior to the start of work. The customer is responsible for removing all knick-knacks, pictures and other decorations that will impede access to the sur*faces to be painted, as well as small furniture. A minimum of 2’ clearance is required for proper access. We can assist in moving heavy furniture. Please note that with some heavy furniture complete removal may not be possible and it will be covered and protected from paint splatter rather than removed. While we will exercise caution while working on your home, it is possible some damage may occur while we are moving your furniture. Unless otherwise stated in this proposal, you agree that we will not be held liable for such damage.

JOB SITE CLEAN-UP:
For the duration of the job, at the end of each work day, all equipment and materials will be stored in a location that will allow the home owner access to, and enjoyment of, the home. All large debris, material packaging, food containers, and other trash will be collected and placed in plastic trash bags. When appropriate and practical, masking materials will be removed from the job site daily. All debris will be removed at the completion of the job.

INSPECTION OF COMPLETED WORK:
Upon substantial completion of the work, Customer may conduct an inspection of the work with the Project Manager. All uncompleted items should be noted at this time. The inspection must occur under normal lighting conditions, without magnification, and from a normal viewing position as specified in PDCA Standards.

ADDITIONAL WORK:
Unless otherwise noted in this proposal, all prices are for 2 coats of the applicable coating. Any work not noted or described within this proposal that is outside of the requirements established by the product manufacturer(s) may be subject to an additional charge.

COLOR SAMPLES AND MATCHES:
Color swatches, samples and matches are approximate. Because of the effects of age, sunlight, cleaning, and the materials used in the manufacture of paint and coatings, exact duplications of colors are not always possible.

SCHEDULING:
We will provide you with an estimated start date once a contract has been signed. We attempt to give you as much notice as possible to inform you of our start date. If you have any special considerations or conditions (i.e. vacations or business travel), please let us know so we can accommodate them.


SCOPE OF WORK

MASKING:
All floors and countertops will be masked with a combination of masking paper, plastic lined tarps, flooring paper and masking film (plastic).

All light switch covers and plug covers will be removed from the wall unless they have been caulked to the wall.

All lights and ceiling fans will be removed or masked depending on the installation.

All window coverings will be removed and placed in a safe location.

PREPERATION OF WALLS:
Nail holes will be filled prior to painting if hardware has been removed from the wall. If a photo, artwork, etc. will be hung in the same location after painting please leave the hardware in place to indicate a hole should not be filled.

Drywall stains caused by water, smoke and other contaminates will be repaired by applying a stain blocking primer/sealer.

Small cracks will be repaired by removing loose material and filling them with caulking. All loose joint tape will be removed and replaced with fiber mesh tape and covered with joint compound and textured to match the surrounding surface.

Larger holes will be repaired with a thin metal drywall patch and joint compound, and then textured to match the surrounding surface.

PREPERATION OF INTERIOR WOODWORK:
Interior woodwork (trim) requires deglossing to improve adhesion of the topcoat. Deglossing will be performed by sandpaper and/or a liquid deglosser. Stains will be sealed with a stain blocking primer/sealer. Cracks between two pieces of wood and the wall/trim interface will be caulked with a silicone fortified acrylic latex caulk.

Previously unpainted or stained woodwork that is being painted will be lightly sanded to improve adhesion. A bonding primer will be applied and all gaps between pieces of wood will be caulked.

Previously unpainted or stained woodwork that is having a new clear coat applied will be lightly sanded to improve adhesion and will be cleaned with a chemical degreaser.

PRODUCTS AND APPLICATION:
Kelly Moore premium products will be used for all paint and primer. For most homes we recommend an eggshell finish for walls & ceilings and semi-gloss for trim and doors.

All trim, doors and other smooth surfaces will have a brush finish (unless previously rolled) with a consistent sheen throughout.
 
How can you give a complete guarantee on everything for 5 years ?

You surely need to have a contract with exclusions. For example, failure of previous coatings causing peeling or blistering of your paintwork. What about varnished/ stained surfaces ? That aint lasting 5 years.
Yeh i agree the terms and warranty needs to have a fine print... needs to describe what happens when a dispute happens, payments, times of operation, variations, site conditions, surface condition, delays, liability and indemnity, colour selection, warranty and the biggest one... contract termination.

try sticking all that crap on 1 page without a fine print lol
 
My contract is 10 pages. This is just my proposal sheet when I meet with the homeowner.

If you notice, it says we guarantee "our painting", but I am not trying to be dishonest with my clients. Stain/varnish and any (walking surfaces) decks/railings are not guaranteed for 5 years

I am upfront with homeowners and tell them that I guarantee it against chipping, peeling, flaking or blistering. I can't guarantee caulking because it is ruined by expansion/contraction, not poor workmanship, which is a product of how well the house was built. I also don't guarantee that it won't chalk because I believe that to be a product of the environment around their particular house. If something gets sun for 10 hours a day in the summer time then it might get chalky before 5 years.

I don't worry about previous coatings failing because if they are going to fail they will fail by the time I get there and I will prepare the surfaces properly.

I don't understand why so many people think 5 years is unreasonable. When was the last time you showed up for a consultation and the homeowner said "Well, we just painted 3 years ago, but the job only had a 2 year guarantee so I guess we got an extra year out of it".

Being honest....warranty or no warranty. ...if it failed recently. ....your probably going to fix either way....

My warranty says they pay for the paint.....a home owner has never paid for any material on any warranty job I've ever done.....sucks but true
